- Security information, including IP address and related data, to help protect our website and systems and to reduce spam and malicious activity.
If you provide us with personal data about another individual (for example, a colleague), you must ensure you have permission to do so.
How We Use Your Personal Data (and Our Legal Bases)
We use personal data for the following purposes:
- To respond to enquiries and communicate with you. Legal basis: legitimate interests (running our business and responding to enquiries) and/or taking steps at your request prior to entering into a contract.
- To prepare and manage quotations (including reviewing any drawings/specifications you provide). Legal basis: taking steps at your request prior to entering into a contract and/or legitimate interests.
- To operate, secure and improve our website. Legal basis: legitimate interests (maintaining the site, preventing misuse, troubleshooting and improving performance). Where this involves non-essential cookies, such as analytics or the embedded Google Map, we rely on your consent. See Cookies Notice below.
- To comply with legal obligations. Legal basis: legal obligation.
Website Forms and File Uploads
If you submit a form on our website, the information you provide is used to handle your request. If you upload drawings or other files:
- the files are stored on our website server to enable us to receive and process your request, and
- our staff download the files for internal review.
Please do not upload information you consider sensitive unless it is necessary for your enquiry or quotation.
How Emails Are Sent
Emails generated by our website (for example, when you submit a form) are sent using FluentSMTP, a plugin that routes outgoing email through a dedicated sending service rather than the standard web server mail function. We use Brevo as our transactional email provider (the SMTP relay that delivers these messages).
- FluentSMTP does not retain any email logs on our website server.
- Brevo retains email logs, including message metadata and content, for 30 days, after which they are deleted. These logs allow delivery to be confirmed and issues to be diagnosed.
- We do not log IP addresses as part of this email sending process.
How Long We Keep Your Data
We keep personal data only for as long as necessary for the purposes described in this notice, including to meet legal, accounting or reporting requirements.
- Uploaded drawings and specifications are retained only until the related quotation is complete, at which point they are deleted from our website server and from any internal copies used for review. If a quotation enquiry is not progressed and goes inactive, files are deleted no later than 3 months after the last contact.
- Enquiries and general correspondence are retained for 24 months from the last contact, to allow us to follow up and to meet any accounting or contractual record keeping needs.
- Technical and security logs are retained for 6 months for security and troubleshooting purposes.
Who We Share Your Data With
We may share personal data with trusted third party service providers who support our business, such as:
- website hosting and IT providers,
- email and communications providers,
- Google, for website analytics (Google Analytics 4) and the embedded Google Map, where enabled.
- Brevo (Sendinblue), which acts as our transactional email provider for delivering emails sent from our website.
These providers act under appropriate contractual terms and only process personal data on our behalf for the services they provide. We may also disclose information where required to comply with law, regulation, legal process, or where necessary to protect our rights.
International Transfers
Some of our service providers may process personal data outside the UK. Google (Google Analytics and Google Maps) may process data in the United States. Brevo, our transactional email provider, processes data within the EU/EEA. Where personal data is transferred outside the UK, transfers are made under the UK Addendum to the EU Standard Contractual Clauses, adequacy regulations, or an equivalent safeguard recognised under UK data protection law.
Security
We use appropriate technical and organisational measures designed to protect personal data. Our website uses HTTPS (TLS encryption) to help protect information in transit. However, no method of transmission over the internet is completely secure.

- the right to request deletion (in certain circumstances),
